Overview
The purpose of this document is to provide a structure to help define the task and to help the team understand and work together. The overall objective might be broken down into - Change, Sustain and Develop: To migrate from a difficult situation to a more sustainable website as a hub for the public face of CamTAD. To maximise the grant aid opportunities and provide the best service possible to service users whilst making best use of the available resources.
The result will be technically optimised, forward looking, compliant and include legally desirable compliance pages. Modern and engaging, the design will be clean and communicate clearly what CamTAD is and the services on offer. There will be conscious effort to help the organisation present as modern, forward looking and suitable for grant support.
We propose a new Squarespace website for CamTAD using core Squarespace functionality, which is suitable for the site requirements as we understand them. Sustainability is essential and we have a lot of experience in empowering our clients by providing full handover of the account and training with support videos upon completion.
Project Proposal
Some projects require several hundreds of hours work, others take several thousands of hours.
The time it will take for a team of 2 experienced Squarespace designers to recreate a WordPress website in Squarespace with a modern design, new images, and refreshed copy will depend on several factors: the design work and iterations; the amount of content to be migrated; the number of custom features to be added; and the level of testing and quality assurance required. There are also issues around the domain name that will take time to resolve (Who owns it and can we get it back!)
Based on our experience, We can provide a rough breakdown for each phase of the project in terms of elapsed time - ie how long you can expect it to take: (Normally here we would quote hours of Isoblue time but as we are working fixed price, this is of more help to you (I think!)
Step 1. Discovery and Planning: 1-2 Weeks
Objective:
Information was gathered during a recent meeting and further meetings and research will gather information about the charity's current website and goals for the new website, and plan the project.
Deliverables:
- Liaise with CamTAD to create Project plan and timeline
- Current Website content inventory
- Competitor analysis - target opportunities/threats
- Website strategy and goals document - to align efforts and avoid ambiguity.
- Future Plans may include revenue generation, event publicity, Grant Proposals
Step 2. Initial Design and Development: 2-4 weeks
Objective: Create the design concept typography, colour pallet, image strategy. This is for discussion and iteration, but generally we find that we get fairly close to the requirement in the first pass - which makes things as cost effective as possible. Deliverables:
- Website wireframes and design concept
- Custom Squarespace template design and development
- Content migration and optimisation
- Future Phases - Integration with third-party tools (e.g., email marketing, donation platforms)
- Further Future Phases - Create new pages, blog, workflows, appointment and room booking, Shop,
Step 3. Quality Assurance, Search Engines and Testing: 1-2 weeks
Objective: Ensure that the new website is Visible to search engines and thoroughly tested to ensure that it is fully functional and user-friendly, compliant & accessible. Deliverables:
- Organisation information, enquiry forms and other contact data tested.
- Meta Data added (Invisible content to help Search engines like Google and Bing)
- Website configured to be visible to search engines - Images labeled etc.
- Website browser testing - Mobile and Desktop
- Bug fixes and optimisation
Phase 4: Training and Handover: 1-2 weeks
Objective: Train the CamTAD staff on how to use the new Squarespace website and transfer ownership. Deliverables:
- User guides and documentation
- One-to-one or group training sessions
- Handover of website ownership to the charity
- Bespoke Videos hosted on your website
Phase 5: Ongoing Support and Maintenance (Optional & Free of Charge for CamTAD)
Objective: Provide ongoing support and maintenance to ensure that the website remains up-to-date and fully functional. Deliverables:
- Ongoing website monitoring and support
- Content support
- Periodic Security review and update
- Visitor statistics and analytics console for you to monitor how many visitors you are getting.
NB. Squarespace for a business is £24/Month. This is for the software and for the hosting - so other than your domain name, it’s all you will need for the foreseeable future. If you pay annually, this reduces to £17/Month
Squarespace offer free trials of 14 days, but Isoblue are professional partners and we are given 6 month free trials, so nothing is payable until your site goes live. It must be paid for in order to go live.
We would like to contribute our services as volunteers to maintain your investment. We anticipate that once the initial work is completed In offering this proposal, we are aiming to get you to a point where the website will be an asset and support you in fundraising and service delivery.

### Cost Summary: Website
We are delighted to have the chance to work with CamTAD. Your support of my family is uppermost in my mind while thinking about how I can structure our help for you.
Our fees for a fresh website would normally range from £2500 - £5000 (Plus VAT) The spread is caused by project variability. Additionally we would charge £750-£1500 to migrate a live website between platforms.
However, We would like to offer to work for a fixed price, and at roughly 50% of our typical rate, and fix the price:
Fixed price at £2500*.
Other Costs
- Squarespace (Website Software and Hosting) Per month based on Annual payment is £17**.
(Domain Name - £15-20/Year )
Plus VAT - If there is a more tax efficient way of structuring this discount, and free contribution, then we would be more than happy to structure things to suit. **If you opt for the annual plan, we will pass on a 20% discount that we receive from Squarespace.
CamTAD - Free Support
We would also like to offer to support CamTAD free of further charge in order to protect your investment. If we are needed regularly and you are growing then it might be in both of our interests to review this offer, but based on your anticipated needs, we will support you without charge (We typically charge between £60-£150/month for this), We would like to do all we can to help you grow. This work will enable us to make the best contribution and work quickly to help where you need it.
Terms
- Where applicable, all prices subject to VAT at current rate.
- Our payment terms are immediate settlement on issue of invoice, unless otherwise agreed.**
- For projects under £800.00 we require payment in full, up front.
- For projects over £800.00 we require 50% upfront, 50% on completion prior to the project being used commercially
- Payment of a balance invoice (for projects over £800) is confirmation that our work is complete, unless agreed otherwise.
- Payment of the balance invoice is required prior to the project going ‘live’
- Any new, third party software contracts are covered for 1 month only.
- Any additional costs that have been agreed in writing, will be added to the balance.
- All software contracts will be handed over to you up on completion unless agreed otherwise.
- Additional agreed Stock images, where relevant, are charged at cost and added to the balance invoice.
- Support contracts are paid in advance using Go-cardless direct debit or Stripe. You can control and cancel your own payments. Contracts have no minimum timescale, all we ask is for one months notice of cancelation.
